Data Migration

How to Migrate Clinic Data Safely

16 June 2026

Migrating a clinic's existing data — whether from spreadsheets, a legacy system or another CRM — is one of the highest-risk steps in adopting a new system. Records that have built up over years are easy to damage and hard to fully reconstruct if something goes wrong.

Start with mapping, not importing

Before any data moves, every source field needs a defined destination. Skipping this step is the most common cause of migrations that "mostly" work but leave gaps or mismatches that surface weeks later.

Clean before you move

Duplicate patient records, inconsistent formatting and outdated entries should be identified and corrected before migration, not after. Migrating messy data into a new system just relocates the mess.

Test against a copy, not the live system

A migration should be tested against a copy of the destination system first, with the results checked against the original source. Only once that test is validated should the live migration run.

Always plan a rollback

However carefully a migration is planned, a rollback plan should exist before it begins. Knowing in advance how to reverse a migration removes much of the pressure if something unexpected appears part-way through.
